A full account of how vehicle-record, generation, billing and support data moves through Motorkeep.

Important service boundary

Motorkeep provides records and reminders only. It is not mechanical, safety or repair diagnostic advice and does not replace a qualified mechanic.

Who is responsible

CHURCHILL MOTOR COMPANY (DONCASTER) LTD, 8 Coppicewood Court, Balby, Doncaster, England, DN4 8SF, United Kingdom, is the data controller for personal data processed through Motorkeep. Questions and rights requests can be sent to support@churchillmotorr.shop.

What we collect and where it comes from

We collect information you enter directly: name, email, account and support details; subscription and order references; vehicle descriptions, mileage, service dates, cost entries, reminders, prompts, generated records, diagrams and recap requests; files you choose to upload; and messages sent to support.

We also receive limited technical data from your browser and hosting environment, such as IP address, device and browser type, timestamps, security events, cookie choices and request logs. Payment providers return transaction identifiers, plan, payment state, billing contact and fraud signals. We do not receive or store the complete card number or card security code.

Vehicle and cost data is supplied by you. Motorkeep does not obtain live vehicle or OBD data and does not infer vehicle condition.

Collection sources

We collect personal data from four defined sources: user input submitted through account, vehicle, generation and support forms; generated output returned by the AI provider at your request; technical and cookie data produced when your browser communicates with the service; and billing or fraud-prevention data returned by the payment provider.

User input includes prompts, vehicle descriptions, mileage, dates, running-cost entries, uploaded files and support messages. Generated output includes service records, reminder timelines, diagrams, recap videos and export files. The AI provider receives only the user input and existing generated output needed to perform the selected generation action.

Why we use it and legal bases

We process account, subscription, tool-input and output data to perform the contract: create requested records and media, provide exports, manage allowances, secure the account and respond to support. We process billing records and required business records to meet legal obligations.

We rely on legitimate interests to prevent fraud, diagnose reliability issues, protect the service and understand aggregate usage where those interests are not overridden by your rights. We rely on consent for optional analytics or marketing. Consent can be withdrawn without affecting earlier lawful processing.

  • Contract: accounts, generation, storage, exports, subscription and support.
  • Legal obligation: tax, accounting, consumer and dispute records.
  • Legitimate interests: service security, abuse prevention and operational improvement.
  • Consent: optional analytics and optional communications.

User input, generated output and AI provider

User input and generated output are sent to the configured AI provider only to complete the action you request. We do not claim ownership of your user input and do not use customer inputs or generated outputs to train our own models. The AI provider may process this data under its service terms and data-processing commitments.

Temporary generation files and AI provider task references may be retained for up to 30 days to deliver downloads and investigate failed jobs. Account vehicle records and generated outputs remain until you delete them or close the account, subject to backups and legal retention. Files you use only to generate an output should not contain unnecessary personal or confidential information.

You may request deletion through your account tools or by emailing support@churchillmotorr.shop. Verified deletion requests remove active copies within 30 days; encrypted backups age out within a further 90 days unless preservation is legally required.

Who we share it with

We share only what is necessary with processors that host the application and database, deliver email, process payments, provide AI generation and assist with security and support. Stripe processes card and billing information as an independent data controller or processor under its terms. If PayPal is offered on a payment page, PayPal processes payment credentials under its own privacy notice. Motorkeep does not touch complete card numbers.

We may disclose data to professional advisers, regulators, courts or law-enforcement bodies where lawfully required, or as part of a business transaction with appropriate safeguards. We do not sell personal information and do not share it for cross-context behavioural advertising.

International transfers

The service is available internationally, and processors may handle data outside the United Kingdom or European Economic Area. Where required, we use adequacy regulations, the UK International Data Transfer Agreement or Addendum, EU Standard Contractual Clauses and supplementary security measures. You may ask for information about the relevant safeguard.

How long we keep it

Account and active vehicle records are kept while the account is open. Support correspondence is generally kept for 24 months after closure. Billing, refund, dispute and tax records are generally kept for six years after the relevant transaction. Security logs are generally kept for 12 months. Consent records are kept while relevant and for up to six years to demonstrate compliance.

We may keep anonymised aggregate statistics that cannot reasonably identify a person. When a legal hold applies, the affected record is retained until the hold ends.

Security

We use access controls, encrypted transport, restricted service credentials, logging and provider security controls. Secret payment and AI keys remain server-side. No online system is risk-free; use a strong unique password and avoid adding information not needed for a car record.

UK GDPR, EU GDPR and California rights

Depending on location, you may ask to access, correct, delete, restrict or object to processing, receive portable data, withdraw consent, or complain to a supervisory authority. UK users may complain to the Information Commissioner’s Office. EU users may contact their local supervisory authority.

California residents may request access to categories and specific pieces of personal information, correction, deletion and information about disclosure, and may not be discriminated against for exercising rights. We do not sell or share personal information as those terms are defined by the CCPA. An authorised agent may submit a request, subject to identity and authority checks.

  • We may ask for proportionate verification before acting.
  • We aim to respond within one month under UK/EU law or 45 days under California law, subject to permitted extensions.

Do Not Sell or Share

Motorkeep does not sell personal information or share it for cross-context behavioural advertising. You can still choose Essential only in the cookie control. Browser Do Not Track signals are not a universal legal standard, but optional analytics remains off unless consent is given where required.

Cookies and analytics

Essential cookies maintain security, admin sessions and cookie choices. Optional analytics, if enabled with consent, helps measure page and feature use. See the Cookie Policy for purposes, durations and control methods. Withdrawing optional consent does not affect the core service.

Automated decisions and children

AI-assisted generation organises the information you enter but does not make legal or similarly significant decisions about you. It does not diagnose faults or decide vehicle safety. Review every output before relying on it as a record.

Motorkeep is not directed to children under 13. Users aged 13–17 may use it only with parent or guardian consent. We do not knowingly collect data from children under 13; contact us to request removal.

Changes and complaints

We may update this policy when processing or law changes and will update the date above. Material account-related changes will be communicated through the service or email where appropriate.

Raise privacy concerns first with support@churchillmotorr.shop. You may also complain to the competent regulator without affecting other rights.
